Refund Policy

WESTCHASE COMMUNITY ASSOCIATION, INC.
REFUND POLICY
ADOPTED BY WCA BOARD OF DIRECTORS
MAY 10, 2007

GENERAL RULES THAT APPLY TO THE REFUND POLICY OF THE WCA

• All requests for refund must be submitted in writing, and the date the request is received by the operations manager will be the date of the request;
• All refunds will be made in the same form as originally paid, unless a “credit” is requested (E.G. Check or Credit Card)
• Residents who elect to receive a “credit” for their deposit, towards a future activity, will avoid being charged any additional administrative fees.
• If a room rental or program is canceled by the WCA prior to the date of the event or startup of the program, a full refund will be issued.


Room Rental REFUND/CANCELATION POLICY

All reservations for the Activity Room may be made by a resident no more than sixty (60) days in advance of the event. If a resident cancels the reservation, a full refund will be given if the request is made more than 30 days in advance of the scheduled event. If an event is canceled less than 30 days in advance of the event, a $50 administrative fee will be charged and deducted from the refund. If the reservation is canceled less than 7 days from the scheduled event, a refund equal to 50% of the deposit plus the $50 administrative fee will be applied.

PROGRAM REGISTRATION REFUND POLICY

The following outlines the refund policy for anyone who has registered to participate in a Westchase program and chooses to withdraw from participating in that specified program.  

1) If notice to withdraw from a class is given with at least two (2) weeks advance notice prior to class startup, a full refund will be issued.
2) If notice to withdraw from a class is given with less than two (2) weeks advance notice, but prior to class startup for medical/emergency reasons, a full refund will be issued.
3) If notice to withdraw from a class is given with less than two (2) weeks advance notice, but prior to class startup, not due to medical/emergency reasons, you may request a 75% refund.  In addition, a $25 administrative fee will be charged and deducted from the refund.
4) If a program does not meet your expectations, you may request a 50% refund minus a $25 administrative fee, up to two days after the session begins. (Does not apply to one-week programs).
5) If a program does not meet your expectations, you may request a 25% refund minus a $25 administrative fee, up to one week after the session begins. (Does not apply to one-week programs).
6) If a program does not meet your expectations due to a change initiated in the program by the WCA after the program has begun, but prior to the program completing 25% of its duration, you may request a 75% refund.  No administrative fee will be charged.
7) In the event that the WCA removes a participant from the program, after the program startup period, no refund will be made if the removal is for due cause.
8) Refunds will not be provided for withdrawal from a program after 25% of the program has been completed.
9) Refunds will not be provided for withdrawal from one-week programs after the program startup date.
